When I started my journey, I thought hiring (or being hired as) an agency was simple, you agree
on a scope, sign a contract, and the magic happens.
Reality check: I’ve been on both sides of the table, and I’ve faced every problem you can
imagine. Missed deadlines. Pretty designs that did nothing for sales. Endless revisions because
no one set expectations.
It took years of hit and try, hit and try to figure out what works, and these 5 questions could
have saved me a lot of sleepless nights.
1. How Will You Understand My Business?
Early on, I worked with agencies (and sometimes even my own team) who jumped straight into
making creatives without understanding the bigger picture. The result? Nice-looking work that
had zero impact.
Now, I never start without a proper deep dive into the client’s sales cycle, audience, challenges,
and goals. If an agency isn’t curious about these things, they’re not going to deliver meaningful
results.
2. Who Will Actually Work on My Project?
I’ve been in situations where the person I met in the pitch vanished the moment the deal closed.
Suddenly, I was dealing with a completely different team who had no context.
That’s when I learned, always ask who is on your project, what their role is, and how you’ll
communicate with them.
3. How Do You Measure Success?
I’ve seen agencies celebrate “10,000 likes” while the client’s sales didn’t move an inch. I’ve also
been guilty, in the early days, of reporting vanity metrics because that’s what clients expected.
Now, success for me means ROI, leads, conversions, repeat customers. If an agency can’t tie
their work to your business goals, you’re just funding someone’s portfolio.
4. Can You Show Case Studies Relevant to My Industry?
In my first year, I said yes to a project in an industry I knew nothing about, thinking “creativity
works everywhere.” It doesn’t. I spent more time figuring out the basics than delivering results.
Ask for examples that match your industry or your type of audience. It’s not about rejecting
agencies that are new to your field, but about making sure they have a strategy to bridge that
gap.
5. How Do You Handle Delays, Changes, and Feedback?
One of my earliest big projects went off the rails because neither side knew how to manage
changes. Every delay turned into frustration, and every feedback loop doubled the timeline.
Now, at Vistaar Webx, we set crystal-clear processes for revisions, feedback turnaround, and
escalation, because I’ve lived through the chaos of not having them.
I’ve learned all this the hard way, through projects that went right, and more importantly, projects
that went wrong.
If you’re about to hire an agency, ask these 5 questions.
If they can answer clearly and confidently, you’re probably in good hands.
If not… you might be signing up for a long, expensive lesson.
At Vistaar Webx, we’ve built our systems on these lessons, so our clients skip the
trial-and-error phase and go straight to results. If you’re looking for a creative partner who’s
been through the mess and learned from it, let’s talk.
